Title Client Relations Specialist

The Client Relations Specialist is responsible to support, plan, coordinate and execute all external and internal events for clients, management and associates. This candidate will provide outstanding service, attention to detail on all projects and events. Additionally, they will manage and track promotional giveaway items for Fremont Bank. They will also manage conference room calendars and facility areas to ensure they are stocked and available for internal and external use.


Responsibilities include but are not limited to:


·          Event tracking to ensure all tickets are input correctly and in a timely manner and client/prospect names are entered

·          Manage company assets including distribution and tracking of all company tickets for sporting, music and theater events to appropriate clients

·          Weekly correspondence with Ambassadors for ticket usage and event attendance

·          Arrange for clients to attend events with the executives

·          Plan and execute golf tournaments

·          Manage Ambassador Program utilizing the intranet Grapevine link, reports, agendas, meeting notes, postings and reminders

·          Communicate and support department manager with the Ambassador body

·          Maintain spreadsheet of clients’ preferences, update monthly and quarterly reports and maintain department website

·          Produce quarterly reports and updates to Directors’ Marketing Committee

·          In manager’s absence perform as the department’s “Go To” person

·          Arrange air travel for clients and management and track expenses to furnish information for monthly cost reporting

·          Review and verify all reports are accurately done for the Chairman.

·          Provide client communications and updates as required

·          Project Management to manage invitations, client selection, event and menu planning, follow up surveys and all details for client events; AT&T, US Open, LPGA, Speaker Events, Golf Attire mailings, Bank events, department events, Board lunches, regularly scheduled meetings and work and support various department events/regular meetings with department coordinators

·          Manage the monthly reports to ensure names/address are correct and filled in on “Name and Address Report”

·          Report Net/Cognos Reports- Run reports to help you manage ticket distribution, event invite lists

·          Providing a Six Diamond Experience to all internal and external clients and management

·          Purchase promotional items, clothing, seasonal decorations and gifts



The ideal candidate will have:


·          AA/BA in Hospitality, Business or event management or equivalent experience

·          Superior event planning and follow up skills

·          Ability to multitask and manage multiple events/projects

·          Strong mathematical skills in budgeting and reconciliation

·          Experience in managing, communicating and working with vendors/clients

·          Flexibility and adaptability to accommodate a fast-paced and changing environment

·          Proficient in Microsoft suite with advanced skills in Excel, PowerPoint and Adobe Illustrator

·          Exceptional organizational skills and detail oriented

·          Excellent written, verbal and telephone communication skills

·          Experience in negotiating contracts  

·          Experienced/proven time management skills

·          Able to work on feet for hours and move heavy items

·          Outgoing personality with hospitality graces to work well with many types of people from clients and executives and their spouses

·          Knowledgeable in current affairs and sports

·          Extensive customer service skills

·          Familiarity with Survey Monkey

·          Thinks quickly on feet

·          Patience and creativity are a must
